Distinguishing Features of the Class

This is a highly responsible position involved with handling the confidential functions of the administrative office for the Superintendent of Schools.  The scope of duties involve the carrying out of established policies set forth by the Superintendent and the Board of Education, and regulations and procedures as they relate to administrative matters.
The incumbent works under direct supervision of the Superintendent and no supervisory duties are exercised.
 

Typical Work Activities

  • Coordinates the activities of the administrative office for the Superintendent of Schools;
  • Maintains the Superintendent’s daily calendar, schedules appointments, coordinates travel arrangements and makes all other appointments and arrangements as required;
  • Provides support to the Superintendent as a liaison to District departments and city divisions performing essential services for the Board of Education;
    • interacts with employees, parents, general public, relieving the Superintendent of routine matters;
  • Acts as the main contact for incoming and outgoing communications for all business requests;
  • Prepares written correspondence, memorandums, reports, etc.;
  • Assists in the preparation of the agenda for Board of Education meetings for items related to the Superintendent;
  • Performs duties on a personal computer using application programs;
  • Performs other duties as requested by the Superintendent.
 

Full Performance Knowledge, Skills, Abilities and Personal Characteristics

  • Good knowledge of principles, practices and terminology of office activities, including methods and procedures;
  • Good knowledge of the administrative policies and procedures of the Board of Education;
  • Basic knowledge of a personal computer in the use of application programs;
  • Ability to prepare accurate and concise correspondence, reports and memorandum;
  • Ability to handle high volume of transactions and interact with all departments and all levels of employees;
  • Ability to independently complete daily and/or recurring routine administrative tasks;
  • Ability to effectively communicate both orally and in writing;
  • Ability to understand and carry out complex oral and written directions;
  • Ability to operate an alphanumeric keyboard at a reasonable rate of speed;
  • Resourcefulness; confidentiality; integrity, diplomacy; tact;
  • Physical condition commensurate with the demands of the position.
 
Minimum Qualifications
 
Bachelor’s or Associate’s Degree from an accredited college or university in Business Administration or a closely related field and one year of full-time office management experience in the public sector or a large business organization;
 
Note:  Verifiable part-time experience will be pro-rated to meet full-time experience
            requirements.
            Proof of education must be submitted at time of appointment.
