 DISTINGUISHING FEATURES OF THE CLASS

An incumbent in a position in this class performs difficult and responsible clerical work, which involves the full-time or substantial part-time operation of a computer, simple computing and related office equipment.  Work requires the exercise of independent judgment in the performance of a number of unrelated clerical tasks and a general understanding of specific law, office rules, procedures and policies.  A Senior Typist performs varied work and may receive detailed instructions at the beginning of each assignment, while those responsible for carrying out steps in a prescribed routine may receive only infrequent general instructions.  Unusual problems or situations not previously encountered are usually referred to supervisors before action is taken.  Work is checked by an immediate supervisor or by another step in the clerical process.  Supervision may be exercised over one or more clerical personnel.


TYPICAL WORK ACTIVITIES

Assigns, reviews and records completed work and instructs new employees in the specialized clerical work of a unit;

Types correspondence, reports, documents and other materials using equipment with an alpha-numeric keyboard;

-sets up, makes adjustments and operates a variety of equipment in order to produce a typed copy from a variety of sources;

-proofreads typed copy, noting any errors and makes corrections by using appropriate techniques;

Types and collates specifications for contract documents;

Operates computer, simple computing and related office equipment;

- scans into computer and retrieves documents;

Processes, checks, codes and files requisitions, vouchers, bills, receipts and other documents and materials;

Issues, records and checks applications, licenses and permits;

- collects fees and accounts for monies received;

Collects, compiles and types records, reports and other related information;

- organizes and maintains files;

Prepares reports as requested concerning the work of the unit;

Prepares correspondence on matters where policies and procedures are well defined;

Answers telephones, takes messages and gives out routine information;

May act as a receptionist, directing callers to the proper source of information;

Performs related work as required.

 
FULL PERFORMANCE KNOWLEDGE, SKILLS AND ABILITIES AND PERSONAL CHARACTERISTICS

Good knowledge of office terminology, procedures and equipment;

Good knowledge of English grammar and usage, punctuation and spelling;

Basic knowledge of business arithmetic;

Ability to organize data into tables and records;

Ability to type accurately from clear copy or rough draft at the rate of 35 wpm;

Ability to be trained in the operation of CRT terminal, personal computer, word processor and related office equipment;

Ability to understand and interpret written material;

Ability to get along well with others;

Clerical aptitude;

Physical condition commensurate with the demands of the position.


MINIMUM QUALIFICATIONS

PROMOTIONAL

Continuous and permanent status in any City Department for one year as an:

 

  1. Account Clerk-Typist, Administrative Aide, Stenographer or Typist;

OR

  1. Account Clerk, Clerk, Junior Data Control Clerk, Junior Traffic Clerk or Complaint Clerk.

 

In addition, if qualifying under (B), must have completed a course in Typing/Keyboarding.

 

NOTE:  Candidates will only be allowed to participate in an exam and be approved or certified for appointment to departments where the rate of pay for Senior Typist is at a higher rate of pay than their current position, even if their title is listed above.

 

OPEN COMPETITIVE

(A)     Associates Degree from an accredited college, business or technical institute in Secretarial Science or a closely related field, including or supplemented by a course in typing or keyboarding;

or

(B)     Graduation from High School, GED, or Equivalency Diploma including or supplemented by a course in typing or keyboarding and TWO YEARS of full time clerical experience, one year of which must have included the operation of an alpha-numeric keyboard;

or

(C)  An equivalent combination of the foregoing.

  • Proof of education, including transcripts listing required courses, must be presented at time of filing application.)
