POSITION:               RECORDS INVENTORY COORDINATOR - PROVISIONAL
 
SALARY:                   $47,261 - $55,395
 
LOCATION:              IT Department   807 City Hall, Buffalo, NY  14202

DISTINGUISHING FEATURES OF THE CLASS:
The Records Inventory Coordinator is responsible for implementing a records management program.  The work involves continual surveyance and examination of non-current and archival public records kept, made, filed or received by the department to determine their value, use and most suitable methods of preservation, storage and disposition.  Additionally, the incumbent works with department heads to retain and dispose of records.  Duties are performed in accordance with local, State and Federal laws and guidelines.  Work is preformed under the general supervision of the department head.  Supervision is exercised over personnel assigned.
 
TYPICAL WORK ACTIVITIES:
Reviews, surveys and catalogs all records for retention and disposition determination according to prescribed categories;
-identifies and classifies records;
-inputs information on inventory worksheets for each record series identified;
Organizes and labels files/records to facilitate record inventory;
Supervises assignment of locations and records to be inventoried;
Places documents into storage according to established filing system so needed documents can be easily retrieved;
-establishes storage area for inactive records;
-works in storage area physically reviewing records and lifting of boxes;
Cross reference locations of records using established indexing system;
Interprets State and local records retention schedules and guidelines for systematic retention and disposition of public records;
-informs departments of records retention requirements;
Reads and follows technical leaflets relating to record retention and information systems;
Coordinates the legal destruction of obsolete records through adoption and use of State Archives Records Retention and Disposition Schedules;
Prepares records and reports concerning the records management program;
Creates and maintains electronic (digitized) organizational record;
Performs related work as required.

In addition to the above Typical Work Activities, employees working in the Board of Education will be required to perform the following:
Must be able to lift up to 30 lbs.


FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS:
Good knowledge of record keeping systems procedures and related terminology;
Good knowledge of indexing procedures and methods used to organize records;
Good knowledge of office terminology, procedures and equipment;
Ability yto understand and apply laws, rules and regulations governing retention and disposition of records;
Ability to organize work effectively;
Ability to file and index documents rapidly and accurately;
Ability to prepare written reports;
Ability to work independently;
Ability to be trained in the use of personal computers, data terminals, etc.;
Ability to bend, lift, climb and stand for long periods of time;
Ability to establish good working relationships with others;
Physical condition commensurate with the demands of the position.


MINIMUM QUALIFICATIONS

(A)   Bachelors Degree from an accredited college or university;
OR
(B)   Associates Degree from an accredited college or university and two years of full time experience in filing, organizing, storage and disposal of records;
OR
(C)   Graduation from High School, GED or Equivalency Diploma and four years of full time experience in filing, organizing, storage and disposal of records;
OR
(D)   An equivalent combination as defined within the limits of A through C.
