DISTINGUISHING FEATURES OF THE CLASS
This is a highly responsible clerical position involving school office management, registration and liaison duties, requiring a thorough knowledge of specific unit functions and supervising employees engaged in this work. The incumbent develops, implements and monitors work procedures of clerical personnel in the elementary/secondary schools’ administrative offices. They are responsible for making certain that all work is performed in accordance with instructions regarding objectives, policies and procedures. The Supervising School Clerk exercises a high degree of independent judgment and level of responsibility for performing complex duties. Immediate supervision is received from the Assistant Director of Placement and Registration. Supervision is exercised over school clerks and clerical personnel assigned to schools’ administrative offices and offices that perform tasks relating to the registration of Buffalo Public School students. Responsibility includes supervising and training of clerical employees working in the administrative office at schools including the ability to train for work involving the entering of student data into the Student Information System. In addition, responsibility training temporary summer staff placed in school locations that have a direct connection to the responsibilities of summer school and peak times at the Central Registration Center. Ability to assist in training all staff entering data into the Student Information System at the Central Registration Center.
TYPICAL WORK ACTIVITIES
Develops, plans, evaluates and reviews clerical work procedures;
Monitors, plans and provides in-service training for school clerical personnel in the details of specialized clerical work;
- assigns rotating school clerical staff on a daily basis;
- maintains activity control records, schedules work loads and flow;
- reviews current clerical operations and procedures by direct observation and reviewing records and reports to determine work status;
- prepares reports recommending revision in procedures to improve operations;
- develops and up-dates handbook for school office personnel on a continuing basis;
- monitors updates of School Clerical Manual on a continuing basis;
Monitors, plans and provides computer in-service training for school clerical employees;
Maintains and up-dates records as needed;
Submits timely activity reports to Assistant Director of Placement and Registration;
Monitors, plans and provides in-service training for school clerical personnel as it relates to the Central Registration Center.
Ability to train clerical staff working in the administrative offices at schools to enter data into the Student Information System for the Buffalo Public Schools. This includes temporary summer school employees;
Ability to monitor and distribute state errors created in the Student Information System by supervised staff;
Performs related duties as required.

Continuous and permanent status as a School Clerk in the Board of Education for three years.
